Simplifying membership processes for a not-for-profit association using Joomla CMS.
The European Society of Coloproctology, or ESCP, is a not-for-profit membership organisation who work to promote and advance the field of coloproctology in Europe. The Society is run by an elected Council and they hold an annual conference every year.
Members of ESCP can sign up online to access a whole range of resources, access to the online journal and a members' directory for keeping in touch with other professionals in their field.
The ESCP website is a Joomla website, and memberships were previously managed by their secretariat using a series of extensions. This made the process long-winded at times, meaning simple administrative tasks were more time consuming than they needed to be and workarounds would often need to be devised to make the extensions “fit” to the workflow and logic of the ESCP membership structure.
Web Foundry had a series of meetings with the ESCP website team, including committee members and secretariat administrators, to deduce exactly what the platform needed to achieve in order for membership management to be effective both for the members who sign up and use the system, and the administrators who work on the platform everyday.
User stories were written to meet the requirements of these different user types. Our experienced Joomla developers were then able to design and build a custom Joomla extension for ESCP to meet the functionality of the user stories, in place of the multiple third party extensions previously used.
Through the ESCP website prospective members can register and pay for a subscription, and existing members can renew - both manually or automatically when their subscription expires.
All aspects of the registration and membership are now controlled through a single dashboard, reducing the time spent by administrators attending to member queries. In addition, custom reports are downloadable from the dashboard, saving time in processing data offline where it is required.
The Joomla CMS in use on the site means that other elements of content beyond the membership data can also be managed by content editors via the same dashboard - without the need for a developer or any coding ability.

Can get quick access to critical reports and the shared view of her management team
The finance manager is part of the secretariat team that manages the membership renewals. Reports and expiry automations are all a part of the solution.
The surgeon is a particular type of member and CPD content can be made available to this user type. Content includes videos, events, and training materials.
The event manager can set up new events and save these as a draft or publish live. Backend reports are available to show the status of bookings and delegate information.
The member can login to the website and view member-only content. Members can belong to different groups, each with varying levels of permission and access.
The client's in-house writer has access to write and save draft content to the website. The content can be reviewed and approved and then published my an authorised manager.
